"We have utilised the Learner Tracking System internet based system since
2005 in order to document and evaluate trainees' level of performance and
development. The system is a powerful tool to assist Training Officers to
comply with the Training Regulations and requirements of SAICA.
Implementation
The system implementation process was smooth and painless. Registration of
employees was initially performed by the staff of Learner Tracking Systems,
thereby reducing the time spent by company staff. All new registrations can be
performed by the designated Training Officer through an efficient and cost
effective procedure. The registration process takes mere minutes and the user
is available on the system immediately to perform the duties required.
System Security and Susceptibility to Manipulation
Each registered user is issued with a secure Username and Password which makes
the Login procedure adequately secure. Unless the Trainees are careless with
the safeguarding of their usernames and passwords and provided that the
designated Training Officer is a trustworthy employee, the system is adequately
secure and not susceptible to manipulation.
Assignment of Rights
The system allows for the set-up of multiple levels of authority in the firm.
Each registered user's access and functions are determined and assigned by the
designated Training Officer. The process of assigning these levels of authority
is time efficient and takes immediate effect.
Monitoring of Compliance
The status report on each user's profile is systems generated in a matter of
seconds. The status report is a valuable tool for use by the Training Officer
to determine the level of compliance by trainees, reviewers and evaluators on
the system. It provides the Training Officer with a user friendly summary of
the processes started and the progress thereof with reference to the different
dates of completion of the respective duties.
Periodic Reviews
The layout of the system is user friendly and does not require excessive
training. It shifts the responsibility for the performance of the Periodic
Reviews to the Trainees (where it should be). Initially the completion of the
Periodic Reviews takes a bit longer as the Trainee has to familiarise himself
with the outcomes and requirements. The time spent is however the same as what
a trainee would have spent on a manual system. As trainees become more familiar
with the system, they should not be spending more than 15 minutes per Periodic
Review. The system allows the Trainee to complete sections of the Periodic
review, thereby eliminating time wastage on outcomes not covered by a specific
assignment. The system indicates on the main menu of outcomes, which outcomes
have been completed, so that the reviewers can focus only on those outcomes.
This makes the system very time efficient, compared with a manual system.
Developmental Needs Analysis
The major benefit of the system lies in the automatic collation of data for the
Developmental needs Analysis. The results of all previous Periodic Reviews and
Developmental Needs Analysis are available on screen by the click of a button.
The Evaluator is able to research comments made and ratings assigned using a
time and cost effective system. The developmental report is generated by the
system based on the Evaluator's completion of the Developmental Needs Analysis,
thereby saving cost and time.
Final Assessments
The Final Assessment's process is very user friendly and time efficient. The
report generated by the Learner Tracking system is submitted to SAICA thereby
reducing the administration involved with the discharge of training contracts.
Availibility of Information
The system allows easy access to all generated Periodic Reviews, Developmental
Needs Analysis and other assessments. We have had no problems with data
corruptions. The database is therefore stable and provides accurate reports.
Maintenance of the System
Where we are unsure of information or require assistance with the operation of
the system, we communicate our queries with the staff of Learner Tracking
Systems by way of e-mail in order to establish an adequate audit trail. The
staff of Learner Tracking Systems normally replies within hours with acceptable
solutions or the information requested. We have also made use of their client
services telephonic helpline. The staff is friendly, efficient and
knowledgeable. Issues are sorted out immediately and effectively. We are
timeously notified of necessary system maintenance procedures and periods of
anticipated downtime in order to affect upgrades. These periods occur seldom.
Accounts Maintenance and Payments
The accounts maintenance system utilised by Learner Tracking Systems and the
staff employed to maintain the system is efficient and accurate. Payments are
allocated accurately. Queries are sorted out immediately and effectively.
Overall Experience
Our association with Learner Tracking Systems has been a pleasant experience due
to the user friendly and effective product, the service excellence provided and
the cost effectiveness of the solution."
